Built for shops that bid in shop drawings

Cabinetry, paneling, casework — built shop drawings, sent through GCs, billed under AIA.

The three jobs

What Fabrica is for. In plain shop-floor English.

HubSpot doesn't know what a G703 is. Procore is for the GC. QuickBooks is your bookkeeping. Fabrica is the operational discipline that lets you run the shop alongside them.

01

Track every opportunity from lead to won deal.

No more "where did that quote go?" Eight stages from Lead to Won, days-in-stage on every card, NEW badges on fresh inbound, notifications when leads go stale. Drag to advance.

02

Get paid on time, with the paperwork GCs require.

AIA G702/G703 progress invoices. Change orders. Lien waivers. COI tracking. Retainage carried automatically. The audit trail GCs ask for, ready before they ask.

03

Know which projects are actually making money.

Time tracking with cost-rate snapshots feeds real job-cost numbers. Per-project rollup of hours and labor cost. Find the margin leak before it's a habit.

AIA G702 / G703

Progress billing, without the spreadsheet.

One click turns any invoice into an AIA G702/G703 series — 2 to 12 draws, retainage applied, schedule of values rendered in-document. Send a draw, see what's paid, see what's held, see what's left.

  • Draw strip — paid, current, scheduled draws as a visual timeline. Click to jump between them.
  • Retainage tracked automatically — held against each draw, released on the last one. Aged on the AR dashboard.
  • Real PDF export — shop letterhead, EIN, terms, signature line. Looks like a real proposal.
  • Send from your shop name — PDF attached, from your domain, replies thread to your inbox.

Paperwork that ships

GCs and designers expect this paperwork. Fabrica makes it 30 seconds, not 3 hours.

Change orders, lien waivers, and COIs as first-class objects — not bolt-ons. Every one logged to the deal's activity feed automatically, so the audit trail exists before anyone asks for it.

Change orders

Signed mid-stream changes, with the audit trail.

CO-YYYY-NNN numbering, race-safe across simultaneous creates. Positive or negative dollar amount. Status flows draft → sent → approved → declined → invoiced. Records who signed off and when.

Time tracking

Know which projects are actually making money.

One row per worker, day, project, category. Cost rate snapshotted at entry so historical job-cost stays accurate when rates change. Subcontractors and per-diem labor track here too — freeform worker name.

  • Per-project rollup of hours and labor cost. Find the margin leak before it's a habit.
  • Categories — shop, install, drawings, finishing, admin — so you can see where the hours go.
  • Range filter — 7 / 30 / 60 / 90 / 180 / 365 days. Trend a project, not just a snapshot.
  • Freeform worker names — track per-diem and sub labor without inviting them as users.

Tour

Everything a shop runs on. Nothing it doesn't.

No marketing automation. No AI-powered anything. No chatbot popup. Each surface earns its place by being the thing you already do, made faster.

The story

We built it for our own shop first.

Epure Millwork has been fabricating custom millwork in Little Falls for two decades — paneling and casework for retail flagships, restaurants, and high-end residential. We ran the business on QuickBooks, four Excel templates, a Trello board, and the memory of what we'd told each GC.

It worked at three projects. It broke at eight. So we built Fabrica.

We use it every day. The shops that joined us early are using it for metalwork, glass, stone, and lighting projects under the same AIA contracts. One product, sharpened on real bids.

"GCs are pushing more risk down the chain. The shops that survive are the ones with the operational discipline to document everything. Fabrica is that discipline, in software."

Vasyl L. · Owner, Epure Millwork

Questions

The ones we get from every shop.

Is this for metalwork / glass / stone, or just millwork?

All of it. Fabrica's data model is industry-agnostic — anyone bidding from shop drawings, working under AIA, and billing in retainage. Toggle the industry above to see the page in your language.

Will it replace QuickBooks?

No. QuickBooks stays for your bookkeeping — accounting, payroll, taxes. Fabrica handles operations: pipeline, estimates, invoices, change orders, lien waivers, COI, time tracking. Export to QB is on the roadmap.

How fast can I get started?

Ten minutes. The onboarding wizard walks you through shop info, branding, your first project, your first estimate, and inviting your team. You're billing AIA progress draws by lunch.

Can I bring my existing data in?

Yes. CSV import for contacts and clients. XLSX import for estimate line items — drop a takeoff spreadsheet, get a parsed estimate. Active projects you'll set up manually; we'll help on a free onboarding call.

Can I send documents from my own email?

Yes — emails go out from your shop's domain (your name on the from-line), with your letterhead and EIN, and replies thread to your inbox like normal mail.

What about my team — can they see everything?

Roles: owner, admin, member. Invite estimators, PMs, and front office. Activity timelines mean nothing gets lost when someone's out.

Is my data isolated from other shops?

Yes — strict cross-tenant isolation. Your contacts, deals, projects, financials, and documents are never visible to another shop. Same Postgres instance, but enforced at every query.

How do I know it'll be around in two years?

We use it to run our own shop. That's the deepest commitment we can make. Production runs on Postgres on Neon, hosted on Vercel, with daily backups and a public status page.

14-day free trial. No credit card. The onboarding wizard sets you up and we'll help you import your first three projects.
